Information for Event Organizers

This page contains information for event organizers in harassment cases.

Harassment in any form is not tolerated at guild events, and Tietokilta is committed to following AYY's safer space principles. Additionally, Tietokilta's Code of Conduct applies to all guild events.

The goal is for all participants to perceive the organizing body as trustworthy and approachable. The responsibility for handling harassment situations lies with the organizers, and all reports must be taken seriously.

Harassment Contact Persons

If alcohol is served at the event, contact Tietokilta’s harassment contact coordinator (in 2025, Emilia Repo, TG ​@hairinta, emilia.repo​@tietokilta.fi) in advance to assess the need for harassment contact persons. Depending on the event, the aim is to have 1–2 harassment contact persons present, though in smaller events the event organizers can also act as the harassment contact persons.

If no dedicated harassment contact persons are available for the event, be prepared to act as one yourself and remain sober throughout the event. It may be particularly challenging to find separate harassment contact persons for late afterparties. Reserve money for harassment contact persons' tickets in the event’s budget. According to the 2025 board's policy, events with a participation fee of less than 50 euros are free of charge for harassment contact persons. For more expensive events, the event organizer decides on the cost of the event. Ensure that harassment contact persons can acquire event tickets, for example, by creating a separate quota in the guild’s sign-up system or by providing a link to a free ticket via the Kide.app admin panel.

Communicating about Harassment Contact Persons

Contact information for harassment contact persons must be easily accessible to event participants. It is the event organizer's responsibility to ensure this accessibility. Below are some examples of where to share the information:

  • In the event’s registration form details.
  • In the event’s possible Telegram group.
  • On physical paper notes in all restrooms and common areas.
    You may use your own design or the guild's ready template

  • In the song booklet at a sitsit - refer to the template above.

  • Through announcements during the event.
  • On screens at the event.

The harassment contact coordinator will provide you with the names, Telegram handles, phone numbers, and photos of the harassment contact persons.

Especially at larger events, it is recommended to introduce the harassment contact persons during a speech given by the organizer, a harassment contact person, or a songleader. The speech should mention that any kind of harassment is not tolerated at the event and introduce the harassment contact persons—who they are, where to find their contact information, what they look like, and how to identify them. Tietokilta’s harassment contact persons can be identified by a pink ribbon, while other associations may have different practices.

It is also important to ensure that event staff know who the harassment contact persons are, so they can guide anyone experiencing harassment to them if needed. Additionally, staff should be reminded that if they notice an unusual situation, they are encouraged to approach and ask if everything is okay.

In Cases of Harassment

If cases of harassment arise during the event, the most important thing is to stop the inappropriate behavior. The event organizer has the right and responsibility to inform the harasser that such behavior is not tolerated. Upon noticing harassment during the event, the first step is to clearly and calmly tell the harasser that their behavior is inappropriate. It is essential to listen to all parties involved fairly, both during and after the event.

If you notice an unusual situation, it is always a good idea to approach and ask what is going on. Harassment situations do not always require drastic measures—often, simply talking is enough, and sometimes it may just be a misunderstanding. However, it is important to ensure that nothing serious is happening to avoid later wondering if something should have been done.

If someone involved in a harassment situation was under the influence of alcohol, it is advisable to follow up after the event. Harassment contact persons are generally available only during the event itself. If needed or requested by the affected person, the guild's or AYY's harassment contact persons can assist in handling the situation. Event organizers also have the right to contact a harassment contact person if they are troubled by what happened.

As an event organizer, you have the right to:

  • Inform the individual clearly and calmly that their behavior is inappropriate and not tolerated at guild events.
  • Ask the individual to stop the harassing behavior immediately.
  • Request the harassing individual to leave the event.
